You can order the service of post dispatchment conveniently from your workstation in the office or from your home, in any volume you need. We not only then send out your letters – we also print and fold them and put them into an envelope. You save time and effort, and avoid having to go to the post office for stamps or to the letter box.

You have until 2.30 p.m. at the latest (Monday to Friday) to send us your letter. The data is processed on the same day for delivery on the following day.  

No. It is currently not yet possible to trace the letters produced by eBrief.

However, you can send your eBrief letters as registered post (eEinschreiben), enabling them to be tracked until they are delivered. For this, simply upload your letter and activate the “Zustellnachweis” option. You can find more information about this under the question “Can I also send eBrief letters as registered post?”.

Yes, depending on the volume of the dispatchment and how you send these items to eBrief.

At www.ebrief.de/en, you currently do not have the option to manually add inserts to letters. However, we are continually working on expanding our service offering. Alternatively, you have the option to get in touch with us and process your dispatchment via an SFTP connection or one-off cloud upload. We will then be happy to send you a personal offer.   

Yes, you can also use eBrief as a guest and send letters without a login. Simply choose to submit the order as a guest at the end of the ordering process. Please note that you will find the information about your order in your email confirmation only.

To ensure a smooth processing of your documents, we recommend sending them to us in the PDF/A (Portable Document Format Archivable) file format.

You can also use the following file formats:

• Word (.doc or .docx)
• OpenDocument (.odt)

1. Drag & Drop: Ziehen Sie die gewünschten Dateien einfach in das entsprechende Upload-Feld.
2. Klick: Wählen Sie per Klick während der Dateisuche Ihre Datei aus und laden Sie diese hoch.

Hinweis: 

• Für Einmalaufträge mit über 100 Dateien/Briefen wenden Sie sich am besten an unser Support-Team, damit Sie optimal unterstützt werden.
• Für monatliche Aufträge ab 250 Dateien/Briefen empfehlen wir Ihnen SFTP oder API als Versandmodell zu nutzen.

To upload a file featuring a series of letters, you first have to load your complete series letter file into the field “Serienbrief”. Then select the parameters for the separation and other printing characteristics.

No. Due to the fully automatic processing, an order cannot be cancelled once it has been confirmed. 

Both the address data of the recipient as well as of the sender have to be visible in the upper left address field in the letter document uploaded. Please feel free to use our letter template as an example. Please do not enter the data as a note in the PDF. All additional data have to be anchored within the document and non-changeable.

You can print your documents as single-sided or double-sided letters, either in black/white or in colour.

Basically, an eBrief letter is an ordinary letter. This means that the written form is also maintained by eBrief.

However, it is important for you to decide if your document requires a personal signature. In eBrief, you can integrate your signature digitally as a picture. In most cases, such an integrated signature is legally accepted. For extremely important letters, such as a note of cancellation or termination, or a plaint for a court or similar, generally only a real signature is legally binding. In such a case, please use an analogue letter and sign this personally. The also goes for cases which call for the same for a contract, law or other regulation.

Yes, we are happy to set up a personal offer for you in such a case. 

For a business letter, we use standard white paper with an 80 g/sqm grammage.

When you provide your letter to us via an SFTP or API interface, we can happily tailor a personal offer for you.

We print using the CMYK colour code. CMYK stands for cyan, magenta, yellow and the key colour (black).

Please be certain you use colours in the CMYK colour code. All other colours will be converted. As not all colours can be converted one-for-one into CMYK due to the range of the CMYK colour palette, colour shifts and distortions can occur in your pictures in some cases. Special colours (e.g. decorative colours) such as Pantone or German HKS colours are not possible via the portal. For larger volumes of letters, from 1,000 dispatches, we are happy to set up a personal offer for you.

The prices for eBrief can be found in our price list.

Yes. You will always receive an invoice a few days later, to be found in your eBrief portal account.

Once you have submitted your order, you will first receive your order and contract confirmation. After about 5 working days, you will find the invoice in your eBrief portal account for downloading. It is saved here for up to 18 months. Should you not receive an order confirmation, please check your data for any possible typing errors and the security settings for your email inbox.

Those ordering as guests will receive their invoice via email.

Wenn Sie einen Auftrag abgeschlossenen haben, bekommen Sie erst Ihre Bestell- und Vertragsbestätigung. Nach ca. 5 Werktagen steht Ihnen Ihre Rechnung in Ihrem eBrief-Portal-Konto zum Download zur Verfügung. Diese können Sie bis zu 18 Monate dort einsehen. Sollten Sie die Bestell- und Auftragsbestätigung nicht erhalten, prüfen Sie bitte Ihre Daten auf evtl. Schreibfehler und die Sicherheitseinstellungen in Ihrem E-Mail-Postfach. 

Your data are in safe hands with us. We have taken technical and organisational measures to guarantee the security of your data at all times.

No. We only process your data for the purpose of fulfilling your contract with us.

You can send your letters throughout Germany and worldwide.

For a smooth sending-out of your letters, please note the following when writing the address:

• Germany: please do not include the German state, i.e. just use the name, street name and number, postal code and town name.
• Worldwide: please do not use the country abbreviation. The name of the destination country can be found in large letters in German, French or English in the last line below the town information. The town is also in large letters, in the language of the destination as far as possible.

Your letters are passed on to our own PIN AG delivery network or to the delivery network of our cooperating partners, as well as of Deutsche Post AG or SPRING (for letters being dispatched worldwide), in line with their respective terms and conditions of delivery.

If you set up a user account, you will only receive a status notification about any non-deliverable letters in your user account. Letters which are transferred to us digitally will be professionally deleted in our sorting system in line with data protection regulations. 

If you order as a guest, you will receive notification about non-deliverable letters via email.
