3. Personal data

Personal data is information about your identity. This includes information such as your name, address, telephone number and email address. It is not necessary for you to disclose personal data in order to use our website. In certain cases, however, we need your name and address and other details so that we can provide the requested services.

 

4. Collection and storage of personal data and the nature and purpose of their use

The collection of personal data and its transmission to state institutions and authorities entitled to receive information is only carried out within the framework of the relevant laws or if we are obliged to do so by a court decision. Our employees and the service companies commissioned by use are obliged by us to maintain confidentiality and to comply with the provisions of the relevant data privacy regulations and data privacy laws. 

 

4.1 When sending us your mail

When you pass on your items to us (by having us collect them, by putting them into one of our letterboxes or by dropping them off at one of our depots), images of the address side of the items are created and processed. This serves to ensure the proper sorting of items and the verifiability of items given to us in the event of subsequent invoicing (VAT proof) and, in the case of items requiring proof such as registered postal items or postal delivery orders, the verifiability of delivery, and is based on Article 6 (1) no. 1b) of the GDPR as well as the Postal Services Data Protection Ordinance (PDSV) and the Postal Act (PostG). 

 

4.2 When visiting our websites

When you access the websites operated by our company, the browser used on your device automatically sends information to the servers of the websites. This information is temporarily stored in a so-called log file. The following information is recorded without any action on your part and stored until it is automatically deleted:

  • IP address of the requesting computer
  • Date and time of access
  • Name and URL of the retrieved file
  • Websites from which access is made (referrer URL)
  • The browser used and, if applicable, the operating system of your computer and the name of your access provider

 

We process the aforementioned data for the following purposes:

  • Ensuring a smooth connection to the website
  • Ensuring convenient use of our website
  • Evaluating system security and stability

 

The legal basis for data processing is Article 6 (1) no. 1f) of the GDPR. Our legitimate interest follows from the data collection purposes listed above. In addition, we use cookies and analysis services when you visit our websites. You can find more detailed explanations in Sections 7 and 8 of this privacy policy. Under no circumstances do we use the data collected for the purpose of drawing conclusions about your person.

 

4.3 Contacting us

If you have any questions of any kind, we offer you the opportunity to contact us, e.g. via email, a contact form or telephone. Only the personal data required for the purpose of processing your request will be processed. The legal basis is your voluntarily given consent (Article 6 [1] no. 1a) of the GDPR). The data collected for processing will be deleted if it is no longer required for the further processing of your request. 

 

4.4 When using our registration for eBrief

On our websites, you have the option of registering to use the eBrief function. The collection of your personal data in the fields marked as mandatory is necessary for proper order processing, in particular for invoicing (Article 6 [1] no. 1b) of the GDPR). Further information can be provided voluntarily and is used for better communication. 

 

4.5 When registering in our customer portal

Your personal data such as first name, surname and email address are required during the registration process and are stored in our CRM system in order to be able to contact you and provide our services (Article 6 [1] no. 1b) of the GDPR). This data will not be passed on to third parties. 

 

4.6 When uploading your documents to the eBrief portal

If you upload your electronic documents to the eBrief portal, they will be electronically prepared for printing, transmitted to a print service provider for the purpose of printing (Article 6 [1] no. 1b) and automatically deleted after 14 days. 

 

4.7 Forwarding of postal items (Nachsendeauftrag)

When you place an order to forward postal items, the personal data required for this request, such as the first name, surname, old and new address, will be processed (Article 6 [1] no. 1a) of the GDPR) and deleted one year after the forwarding order has expired. The invoice and payment data related to this will be stored in accordance with the relevant tax laws. 

 

4.8 Newsletter

You can subscribe to our free newsletter on our website. You must enter your email address. If you do not do this, you will not be able to receive the newsletter. The following data is also collected when you subscribe to the newsletter:

  • Name (optional)
  • Email address
  • Date and time of your registration

 

Registration for our newsletter takes place in a so-called double opt-in procedure. This means that after registering, you will receive an email asking you to confirm your registration. This confirmation is necessary so that no one can register with another person’s email addresses. When you click on the link to confirm your registration, your IP address and the exact time (date and time) of the click will be collected. This data processing serves to comply with our legal obligation to prove than an opt-in, i.e. express consent to receive the newsletter, has actually been given by the email address (Article 6 [1] no. 1a) of the GDPR) owner.

 

The data will only be passed on to our newsletter service provider for the purpose of processing the newsletter dispatchment.

 

A possible storage beyond the cancellation of the newsletter for up to three years serves the purpose of proving a previously given consent and a possible defence against claims. After subscribing, the subscriber will receive and email form us with a confirmation link to the email address provided. If this link is not clicked, we will delete the data by the fifth working day (Monday to Friday) after registration. Your data will also be deleted as soon as it is no longer required for the purpose for which it was collected. The user’s email address will therefore be stored for as long as the subscription to the newsletter is active and the three-year period for storage for evidence purposes has expired. You can cancel your subscription to the newsletter at any time, free of charge and in any form. For this purpose, each newsletter also contains a corresponding link with the option to unsubscribe.

 

4.9 Other purposes for the use of personal customer data

In order to maintain customer relationships, it may also be necessary for us to use your personal data, such as your first name, surname and address, to inform you about product offers that are useful for your business activities or to conduct online surveys in order to better meet the tasks and requirements of our customers (Article 6 [1] no. 1f) of the GDPR). We may use external service providers for this purpose.

 

5. Online Marketing

PIN AG and its affiliated companies with the meaning of Section 17 of the German Companies Act (AktG) (hereinafter referred to as “PIN”) attach great importance to the protection of personal data of our applicants. The information you provide on this website as part of your application will be used by PIN for purposes related to your interest in employment at PIN. 

These data are processed and used exclusively for the purpose of selecting applicants and are deleted once the application process has been completed within the statutory period. At no time will your data be passed on to third parties. You can also request the deletion of your data at any time. 
 

 

6. Cookies

Cookies allow us, for example, to customise a website to your interests or to save your password so that you do not have to re-enter it each time. When using the websites, security-relevant (randomly generated) information is set as a cookie, which is removed by the browser at the end of the session (e.g. by closing the window). 

No personal data of the user is stored, only the internet protocol address. This information is used to automatically recognise you the next time you visit our website and to make navigation easier for you. 

Of course, you can also view our websites without cookies by selecting “Do not accept cookies” in your browser settings. Please refer to your browser service provider’s operating instructions to find out how this works in detail. However, if you do not accept cookies, this can lead to functional restrictions of our offers. 
 

 

FAST

General scope and description of data processing

We use FAST to correctly allocate the success of an advertising medium. The data is automatically deleted after 90 days. No profiling takes place. FAST uses a unique key that third parties cannot assign and therefore users cannot be tracked. Personalised advertising is not possible with FAST. 

FAST establishes a connection between a click on an advertising medium, e.g. an advertisement, and an action, e.g. a purchase or a login or registration.

The information transmitted to us serves the sole purpose of correctly allocating the success of an advertising medium and the corresponding invoicing.

FAST does not store any cookies or cookie-like data on your end device.

When generating the device fingerprint, only non-personal parameters are combined (e.g. browser setting, time zone, CPU class, colour depth, browser language). 
 

 

Scope and description of data processing when using Google Ads or Microsoft Ads

In the case of a promotion, the order number and the basket value of the order are usually also transmitted and stored by us for 90 days. Personal data such as name, telephone number or address are expressly not recorded or stored.

 

The following data can also be transmitted:

  • ID (consecutive number)
  • ClickID
  • Time of purchase
  • Currency
  • Conversion name (shop order or lead)

 

The device fingerprint is processed on the server of the respective customer. If integration takes place via Google Tag Manager, the device fingerprint is processed via the Smarketer Host Europe server in Strasbourg.

 

Thanks to high security standards, such as an HTTPS connection, the conversion data is sent to our HOST Europe server located in Strasbourg. The transfer of the export file and the processing of the data (ClickID, conversion name, timestamp, order value, currency) takes place according to Google Ads or Microsoft Ads on a US server.

 

The software is set so that no profiling takes place.

 

Legal basis for the processing of personal data

The legal basis for the processing of the user’s data is Article 6 (1) no. 1f) of the GDPR.

 

Purposes of the processing

The information transmitted to us serves the sole purpose of correctly assigning the success of an advertising medium and the corresponding invoicing and is justified by our legitimate interests pursuant to Article 6 (1) no. 1f) of the GDPR.

 

Duration of storage

The data of the processing described here is automatically deleted after a maximum storage period of 90 days.

7. Google Analytics

This website uses Google Analytics, a web analysis service of Google Inc. (“Google”). The use is made on the basis of Article 6 (1) no. 1f) of the GDPR. Google Analytics uses cookies, which are text files placed on your computer, to help the website analyse how users use the site. The information generated by the cookies about your use of the website include:

  • Browser type/version
  • Operating system used
  • Referrer URL (the previously visited page)
  • Host name of the accessing computer (IP address)

These are generally transmitted to a Google server in the USA and stored there. The IP address transmitted by your browser as part of Google Analytics is not merged with other Google data. We have also added the code “anonymised” to Google Analytics on this website. This guarantees that your IP address is masked so that all data is collected anonymously. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there.

 

Google will use this information on behalf of the operator of this website for the purpose of evaluating your use of the website, compiling reports on the website activity and providing other services relating to website activity and internet usage to the website operator. We evaluate this technical data anonymously and solely for statistical purposes in order to constantly optimise our website and make our internet offerings even more attractive. This anonymous data is stored separately from personal information on secure systems and does not allow any conclusions to be drawn about an individual person. Your personal data and your privacy are therefore protected at all times.

 

8. Duration of data use

The personal data will be deleted immediately if you withdraw your consent or if the purpose of using the data no longer applies, unless other laws prevent this.

 

PIN AG shall immediately inform its cooperation partners of an revocation of consent declared to PIN AG. PIN AG has obliged its cooperation partners to delete the personal data immediately after becoming aware of the revocation.

 

PIN AG has also obliged its cooperation partners to inform PIN AG immediately of any revocation declared to the cooperation partner. After becoming aware of the declaration of revocation, PIN AG will immediately arrange for the deletion of the data from itself and any other cooperation partners.

 

9. Your rights

You have the option to revoke your consent for the future at any time by sending a corresponding message by post to the data protection officer of PIN AG or via email to datenschutzbeauftragter@pin-ag.de.

 

You also have the right to information, correction or deletion guaranteed by the German Data Protection Act. These rights can be exercised by sending a message via post or email to datenschutzbeauftragter@pin-ag.de.

10. Children

Children under the age of 16 should not transmit any personal data without the consent of their parents or legal guardians. We do not request personal data from children and young people, do not collect it and do not pass it on to third parties. 

 

11. Security

We have taken technical and organisational security measures to protect your personal data from loss, destruction, manipulation and unauthorised access. All of our employees and all third parties involved in data processing are obliged to comply with the German Data Protection Act and to handle personal data confidentially. 

When collecting and processing personal data, the information is transmitted in encrypted form to prevent misuse of the data by third parties. Our security measures are continually revised in line with technological developments. 
 

 

12. No data transmission to third parties

Your data will not be transmitted to third parties unless we are legally obliged to do so. Where external service providers come into contact with your personal data, we have taken legal, technical and organisational measures and carry out regular checks to ensure they comply with the provisions of data privacy laws. 

 

13. Amendments to our data privacy policy

We reserve the right to change our security and data protection measures if this becomes necessary due to technical developments. In such cases, we will also adapt our data protection information accordingly. Please therefore note the current version of our privacy policy.
